Pharmacy phone greeting message: templates

What a greeting must say, five templates to adapt, the on-call announcement changed in two minutes, and where a message falls short of a voice assistant.

A pharmacist records her pharmacy's phone greeting message on the handset, the text written by hand

The greeting message is the first thing a patient hears from the pharmacy, often before speaking to anyone. It has three jobs, in one order: say where the caller is, say what happens next, say what to do if nobody picks up. Everything else, detailed hours, promotions, instructions, lengthens the message and makes people hang up. This article gives the structure, five templates to copy, and the method to change the announcement without calling anyone, on-call duty included.

1. What a greeting message must say

A good message fits in two sentences, in this order:

  • Say where the caller is: the pharmacy’s name, as the patient knows it. Not the company name, not “your pharmacy”.
  • Say what happens: what is going on now. “A team member is coming”, “the pharmacy is closed, here is where to go”, “leave your name and number”.

And three things it must not contain:

  • No medical advice, even generic: no dose, no symptom, no “in case of fever”. A message that gives advice commits the pharmacy without any pharmacist having heard the question.
  • No recited hours on an opening message: a patient calling during opening hours does not need them, and one calling at night needs a single piece of information, the on-call pharmacy.
  • No recording without announcing it: if calls are recorded, the patient is informed beforehand, which is an obligation (CNIL, prior information of individuals). In the Nexum voice assistant, this legal message plays before any recording, when the pharmacy turns that option on.

2. Five templates to adapt

The texts below are starting points. The pharmacy name, town and numbers are to be replaced; the tone stays neutral and short. These are the words the patient hears, hence the “you”.

One more template, the one patients of equipped pharmacies already hear: the voice assistant does not play a message, it asks a question. “Hello, you have reached the pharmacy’s switchboard. How can I help you?” What follows depends on the answer.

3. The on-call announcement, changed in two minutes

This is the message that is wrong most often. The on-call rota changes, the announcement does not follow, and on Sunday the patient hears Saturday’s hours. The rule is simple: the on-call announcement must be changed by the team itself, the same day, with no ticket and no provider.

In Nexum Pro, the pharmacy owner has three ways to produce an announcement, all ● available in the app:

  • Import an audio file: the message already recorded, dropped as is into the audio library, live immediately.
  • Generate with AI: the announcement text is written, the voice is produced in a few seconds.
  • Record by phone: from any handset, no software. Pick up, speak, it is live.

The audio library gathers all the pharmacy’s messages in one place, ready to play, with their transcript. When the on-call period ends, the opening announcement takes its place back: nothing to re-record.

4. What a message will never do

A greeting message informs; it does not answer. It does not know whether Spasfon is on the shelf, it reserves nothing, it does not pass a call to the pharmacist with what has already been understood. Three limits pharmacies meet every day:

  • Recorded hours go out of date. A bank holiday, an exceptional closure, an on-call night: the message says the opposite of reality. A voice assistant that reads the pharmacy’s hours grid answers “open”, “closed” or “on call” from the grid, not from an audio file.
  • The patient waits for a simple question. “Do you have this product?”, “until what time?”, “is my order ready?”: these calls tie up a pharmacy technician at the counter, while the answer is in the pharmacy management software.
  • Out of hours, the call is lost. The message points elsewhere; the request itself is not taken.

That is the difference between an announcement and a voice assistant. On the Nexum network, the voice assistant has taken 233,484 calls since 5 October 2025 (as of 17 September 2026, production database, all equipped pharmacies): it picks up, understands the requested product, checks real stock, sets it aside, or transfers to the team whatever needs a pharmacist. The greeting message stays, but it becomes an opening sentence, not a wall.

5. Setting it up from Nexum Pro

The voice assistant is set up from Nexum Pro, by the pharmacy owner, with no technical help. The setup assistant chains the steps and shows a summary before saving. Settings as seen in the app on 16 September 2026:

  • Template and greeting ● Available in the app: a pre-configured flow to start with, a greeting message imported, generated or recorded by microphone.
  • Menu and transfers ● Available: the options offered to the caller and the team’s numbers, with their order and ring time, and the pharmacy’s hold audio during the transfer.
  • Hours ● Available: the week’s grid, day by day; outside the slots, transfers switch to voicemail.
  • Callers and audio library ● Available: a flow for each type of caller, all audio messages gathered in one place.

For customers, nothing changes: they call the pharmacy’s usual number. Forwarding the call to the line assigned by Nexum is enough in most pharmacies; otherwise, a pre-configured box is shipped.

Frequently asked questions

▶ Must the patient be told the call is recorded?

Yes, before any recording. A pharmacy that turns on call recording in Nexum Pro plays a legal message at the start of the call; without this option, nothing is recorded and the message is not played.

▶ Can the pharmacy keep its current message?

Yes. The existing audio file is imported as is into the audio library and used as the greeting message. It can be replaced at any time by a generated version or one recorded by phone.

▶ What happens when the pharmacy is closed?

The voice assistant reads the hours grid: outside the slots, it tells the patient, points to the on-call pharmacy if the pharmacy has set that up, and transfers switch to voicemail. The patient can also reserve a product to collect at opening, or leave a transcribed message for the team.

▶ Can the message answer a health question?

No, and neither can the voice assistant. No dose, no interaction, no symptom: anything that needs a pharmacist is transferred to the pharmacy team, who stay in control.

Message templates are given as a guide, to be adapted to each pharmacy and checked against the on-call organisation of its area. Voice assistant settings: as seen in Nexum Pro on 16 September 2026. Number of calls: Nexum figure of 17 September 2026.
